High Performing Student Branch Chapter Program

• Any IEEE PES Student Branch Chapter active in 2024 is eligible to apply for the IEEE PES HPSBCP.
• The Chair of the respective PES Student Branch Chapter can fill out the online application form given above. If the Chair is not available, an executive committee member or an active volunteer leader can fill it. However, only one application will be evaluated. So, kindly make sure to coordinate this process within the SBC.
• The deadline for the submission is February 29, 2025. Any submission after the deadline will not be considered.
• Each IEEE PES SBC that meets the defined performance requirements will be eligible to receive funding up to $1,000 USD based on the total score of their application.

First part – Applicant information:
The application form starts with basic information of the applicant including your name, IEEE membership number, your IEEE geographic region (check your region here: https://www.ieee.org/communities/regional-world-map.html), IEEE Section, country and your student branch chapter name to be selected from the drop-down list.

Second part – Basic funding:
The next section of your application is for basic funding. Each SBC will be eligible to receive a basic funding of up to $150 USD if they have fulfilled the following two minimum criteria:

• Updated the office bearers of the PES SBC in IEEE vTools officer reporting for the year 2024. Please visit https://officers.vtools.ieee.org/ and search for your SBC. All officers need to be reported using vTools Officer Reporting. If your PES student branch chapter had a new officer installed for the year 2024 but missed this step, you can do it now and get back to the form. You can find more information on using IEEE vTools officer reporting at :https://vtools.ieee.org/vtools-officer-reporting-tutorials/
• Organized and reported at least two events with photos in IEEE vTools events reporting in the year 2024. Please go to the https://events.vtools.ieee.org/ link and search for your SBC. If you had organized two events in 2024 but missed reporting them, please go ahead and report now. You can find more information on using IEEE vTools event reporting at: https://vtools.ieee.org/vtools-events-tutorials/

Third part – Additional funding
This part contains questions on events of the following categories. Kindly note that only the IEEE vTools event link of the most effective event should only be provided for each category. Repeated events will not be considered for evaluation.

Qualification criteria for additional funding:

1. The SBC should have retained (renewed) at least 6 of their total members in the membership cycle 2024-25 (last date to renew – Feb 28th 2025).
2. The SBC should have a YoY growth of 10% as of 1st March 2025 compared to the previous year.

This part contains questions on events of the following categories. Kindly note that only the IEEE vTools event link (Photos of the event should be available in the report) of the most effective event should be provided for each category. Repeated events will not be considered for evaluation.

• Technical/Educational activities: This includes workshops, seminars, and invited speakers on technical or educational activities. Examples: Webinar on smart grids, workshop on MATLAB, technical hackathons, etc.
• Initiative for membership growth/retention [Eg: Welcome/ membership drive event for new members or Technical, professional or initiatives in any other domains aimed at retaining the current members] 
• Professional development activity [Eg: Career fairs, mock interview sessions, industry meetups, networking sessions and similar professional development events]
• Events promoting PES global initiatives [Eg: PES Day, WiP Day activities,etc]

PES SBC Website and/or Social Media Page [The SBC should have a separate webpage for updating their PES SBC activities or at least one separate PES SBC social media page to be eligible for this scoring. Extra points will be allotted for both timely updated PES SBC Website and social media pages.]

Scoring Rubric

The time period for consideration of activities/ events reported is from 1 January 2024 to 31 December 2024.

Basic funding:
When you meet these two mandatory requirements, your SBC will be eligible for basic funding of up to 150 USD

Additional funding:
Meeting the bonus requirement will allow your PES SBC to get additional funding up to a total of $1000 USD.

Qualifications for additional funding:

• The SBC should have retained (renewed) at least 6 of their total members in the membership cycle 2024-25 (last date to renew – Feb 28th 2025).

The SBC should have a YoY growth of 10% as of 1st March 2025 compared to the previous year.

If qualified, the funding would be based on the total points scored as per the below table.

A: If your student branch had a new officer installed for the year 2024, but missed completing the officer reporting, you can still do it now by visiting https://officers.vtools.ieee.org/ and searching for your SBC. Q: What to do if my PES student branch chapter hasn’t reported any of the completed events in vTools?

A: Kindly visit https://events.vtools.ieee.org/ and report all the events organized by your student branch chapter in the year 2024. Resume with the form once you complete the step. More information on event reporting is available at https://vtools.ieee.org/vtools-events-tutorials/

Q: Can the same event be reported in different categories if it falls into all of those categories?

A: No. One activity can only be counted once.
